Large-Scale Event Catering in Medellín for 150 to 900 Guests

Medellin Elite Catering feeds crowds of 150 to 900 guests at conventions, galas, company-wide parties and large weddings across Medellín and Antioquia. Our largest single service so far was a 900-guest company year-end party, and the systems behind it are the ones we bring to every big event.

Our clients at this scale are event agencies, HR and communications teams at companies with Medellín offices, conference organizers and families hosting very large weddings. They need a caterer who can quote clearly, staff deeply and work inside a venue's rules and the city's permit process.

Since 2019 we have built our large-scale work on tested routines rather than improvisation. Production starts in our own kitchen days ahead, and a bilingual coordinator stays your single contact from first call to final cleanup.

Our Catering for 150 to 900 Guests

We cater large-scale events with full-service buffets, cocktail receptions, plated banquets and live food stations, run from several service points at once. Typical events include annual conventions, product launches, year-end parties for a whole company, graduation ceremonies and weddings with very large families.

Most corporate clients book through our corporate event catering team, which also handles company invoicing. Weddings at this size follow our wedding lead times of 6 to 12 months for Saturdays and the October to December season.

Every staffed quote includes menu, cooks, servers, chafing dishes, tableware, setup and cleanup. Tents, furniture, generators and field kitchen equipment are rentals we coordinate through partner suppliers and itemize line by line.

Logistics at Scale

Feeding 150 to 900 people well depends on splitting the crowd into manageable service zones, each with its own line, staff and supply route. We plan these zones on the venue's floor plan weeks before the event, then walk the site with the venue's operations team.

Production starts two days before: stocks, sauces and braises are cooked in our kitchen, chilled in the blast chiller below 5 °C and moved in our refrigerated van plus a rented refrigerated truck. At the venue, a satellite kitchen finishes and holds the food above 60 °C in warming cabinets, so nothing travels hot across the city on the day.

At fincas and outdoor sites we build a field kitchen under a tent with propane burners, worktables, sink stations and fire extinguishers, powered by a rented diesel generator sized for warming cabinets, lights and coffee urns. One hour before doors open, the full team gets a briefing on the run of show, allergens and service zones, and supervisors stay in contact by two-way radio throughout.

Staff Plans by Guest Count

Staff numbers at scale follow the same ratios as smaller events, multiplied across zones. Each zone of about 100 guests gets a zone captain who releases tables to the line and watches for empty trays.

GuestsFormatServersBartendersCooksCoordinators
200Buffet8 to 103 to 45 to 61

500Plated banquet42 to 507 to 1014 to 163
900Buffet, six double-sided lines36 to 4512 to 1820 to 224

Buffet lines follow our rule of about 2 m per 50 guests, so 900 guests need 36 m of single-sided line or 18 m double-sided. Splitting that length into six stations shortens the walk from every table and prevents a single long queue.

Permits and Plans for Big Crowds

Public events in Medellín need a contingency plan approved by DAGRD, the city's disaster risk management department, and shows open to the public need a public-show permit backed by liability insurance of at least 100 monthly minimum wages. These are normally the organizer's or venue's responsibility, not the caterer's.

What we supply for the organizer's file is everything about the catering operation: a staff list with ID numbers for access control, food-handler certificates for every cook and server, our good manufacturing practice procedures under Resolution 2674 of 2013, and the location of gas cylinders, generators and fire extinguishers for the site plan. Used cooking oil leaves with a registered collector under Resolution 316 of 2018.

Private, invitation-only events at a finca or company site usually need neither permit, but the venue or municipality may still set rules on noise under Ley 1801 of 2019 and closing times. We check those conditions with you before confirming the staffing plan.

Venues for Large-Scale Events

Large-scale events in the Aburrá Valley mostly happen in convention halls such as Plaza Mayor, hotel ballrooms, company campuses and industrial parks, and big fincas in Llanogrande and Rionegro. Each one changes how we cook and serve.

Convention halls set their own rules on loading docks, kitchen use and approved suppliers, so we confirm access with the venue's operations team before quoting. Company sites in Itagüí's industrial zone, which our catering in Itagüí page covers, often have cafeterias we can use as a satellite kitchen, which reduces equipment rental.

Fincas in eastern Antioquia need the most equipment: a field kitchen, a generator, tents and often lighting for the access road. The drive of 1 to 2.5 hours shapes the production schedule, so the van leaves earlier and carries extra hot boxes.

Events We Have Run at Scale

These are representative events from our large-scale work, described by type, size and menu rather than by client. They show how the plans above translate into real service.

Company Year-End Party, 900 Guests

Our largest event: a year-end party in a convention hall, served as a buffet from six double-sided lines with pork from our barrel smoker, posta cartagenera, chicken in coconut sauce, rice, salads and a dessert station of natilla, buñuelos and tres leches. All 900 guests had their main course within about 35 minutes, and the bar ran for 5 hours.

Finca Wedding, About 350 Guests

A wedding at a large finca near Rionegro, with a canapé hour, an attended buffet and a late-night empanada station. The field kitchen ran on a rented generator and propane, with the buffet trays swapped from warming cabinets every 20 minutes.

Conference Lunch, About 500 Guests

A one-day conference lunch served in a 45-minute break, using four double-sided buffet lines and labeled vegetarian and gluten-free trays. The plated alternative would have needed twice the servers, so the buffet kept the team lean without slowing the break.

For events between 50 and 150 guests, see our large event catering page, and for the menu side of big buffets, our buffet catering service.

Questions and answers

Large-Scale FAQs

How many staff do you send for 500 guests?

For a 500-guest buffet we send about 45 to 55 people: 20 to 25 servers, 7 to 10 bartenders, 12 to 14 cooks, a dish and cleanup crew and 3 coordinators. A plated dinner for 500 needs 42 to 50 servers instead, bringing the team to about 70. The exact plan depends on the venue layout and the number of service points.

Can you serve 900 guests in one hour?

Yes, 900 guests can all have a hot main course within 30 to 35 minutes if the buffet is split into six double-sided lines. Each line face serves 2 to 3 guests per minute, so twelve faces move about 30 guests a minute, and tables are released in waves by zone captains. That leaves the rest of the hour for second helpings before dessert opens.
